Technically Speaking – Maintenance Feature

TapRooT® 6.3.1 introduces a Maintenance mode feature that allows administrators to post a global message across the software notifying users that the site will be entering maintenance mode.

 

 

While in Maintenance mode users will NOT be allowed to login to the software.  If they are already logged in, they will see a countdown appear across the top of every page in the software.  This will not kick-off or end a users session if they are logged in when the time runs out.  We don’t want to interrupt any users frantically trying to complete an investigation, but this does allow the admins to see those users and contact them.

Administrators can enable/disable this under Admin > Maintenance.  Here they can also set the exact time and length for the outage to see if anyone is active in TapRooT®. Only Administrators can login during Maintenance mode, so they can disable it once service is restored as normal.

Configuring Dashboards in TapRooT® VI

Let’s dive a little deeper and figure out how to have the dashboards show you exactly what you want!

In the screenshot below, we can configure and add/remove the TapRooT® widgets we want on our Dashboard in the TapRooT® software to improve our visibility and bring light to common trends in your organization.  There are 25 widgets available in the latest version of TapRooT® VI.

**NOTE Dashboards rely on your Classifications and Locations list.  Make sure these lists reflect how you want the Dashboards to appear.

Below you can see a filter which lets you choose Date Ranges, specific Locations, or Classifications.

This lets you magnify specific areas or step back for a broad view of your organization.

Technically Speaking – Tips For Building a SnapCharT®

The new SnapCharT® in TapRooT® VI is loaded with features to improve flexibility and increase productivity when building a SnapCharT®.

Shape Defaults and Zoom are some of the easiest features to use and they will benefit all your SnapCharT®s going forward. Click on the “Settings Gear” icon to access Shape Defaults.

Shape defaults let you customize your objects for EVERY SnapCharT® you build.  It is one of the first things I recommend to new users and I believe it saves hours of editing on the SnapCharT®.

Take into consideration how these objects appear on a projector or large screen.  Once you set defaults you can always customize them even further on the SnapCharT®. Now anytime a new “event” is added it will appear blue, the text will be size 14, times new roman and it will be italicized.

Zooming can be accomplished using the “plus” and “minus” magnifying glass objects on the toolbar.  This lets you focus on specific events or zoom out for a grand picture of the entire SnapCharT®(as many pages as you want).

fit window  Fit to window resizes the SnapCharT® to fit all objects in the viewing area.  Whether your timeline is 1 page or 20 pages long and full of events.

Technically Speaking – TapRooT® VI Custom Tabs

Custom Tabs… You may wonder, what exactly is a custom tab and how would it benefit me?

Custom tabs allow any user to create their own personalized screen of information in the TapRooT® Software. For example, you can create a tab that contains all the information for your final management presentation, or you can create an audit form with 10 questions to ask during an audit. Even better, these tabs can be customized on a per user basis or per division (i.e. if you have multiple factories at your company).

You can create these custom tabs through the Admin > Custom Tabs section.
Simply create any field, label it, and then choose where and how it displays on the page. Fields can be dates, currency, yes/no questions, checkboxes, dropdown lists or paragraph textboxes.  Field order can be rearranged easily by dragging the field up and down the custom tab.

Custom fields have existed before in the TapRooT® Software, but this offers a fresh new experience for getting exactly what you want. You determine what tabs show up for your audits, incidents, and investigaitons.

Any field that is exists can be added to your reports. Choose, rearrange, and format any fields onto your report to get the exact information your management team wants to see.  It’s about time we got management to notice!

Technically Speaking – Management was Shocked When They Saw This Report!

Struggling with the same type of incidents, but can’t figure out why?  Does someone complain about management everyday, but management believes they are always right? The Root Cause Distribution Report, available in the TapRooT® Version 5 Software, can help by bringing generic issues to light that may be overlooked.  The Root Cause Distribution Report shows us a top-down view of the organization and aggregates all the investigation data into one simple report.

We can narrow down our scope by choosing specific locations, classifications, or date ranges too. This can be valuable if we have several locations across the world, or we use TapRooT® in multiple ways such as Safety, Environmental or Quality incidents.

We can see in this example below that Management System has significantly more Root Causes identified than any other category. The next page of the report will detail the Root Causes from each category so we can investigate further.

On the next page we can see the specific Root causes that make up each Basic Cause Category. It appears that our Standards and Policies do not exist or are poorly written. What should we do? Maybe we should PROACTIVELY review our current policies and look for places to improve, or setup a quarterly review of our policies to keep them updated.

The Root Cause Distribution Report helps identify areas where generic or systemic analysis can be applied. Have a look at the report in your TapRooT® Software by going to the left menu and selecting SEARCH & TREND > ROOT CAUSE DISTRIBUTION.
