Technically Speaking – Upcoming Enhancement: Foreign Language Support

Hello TapRooT® users! Today I wanted to introduce you to a new series where we highlight upcoming enhancements to the TapRooT® VI software. The first upcoming software enhancement I wanted to tell you about is the addition of foreign language support. You soon will be able to change the software to your preferred language throughout the application. Take a look at the screenshot below:

All fields will translate to the selected language with the exception of incident titles and custom fields. Stay tuned for a video on the steps to change the language once the enhancement is released.

Technically Speaking – TapRooT® from a Non-Technical User’s Perspective

If you can appreciate modern technology but can’t quite keep up with the techy-lingo and new innovations, join the club. That’s why the IT world created the term “user-friendly”, for not-so-technical people like us. We need a little extra help and that’s ok. If everyone was tech-savvy, we wouldn’t have our trusty IT Departments.

Well, I’m sure you’ve heard that here at TapRooT® the latest software (TapRooT® VI) has been released, and it is full of cool features to make your investigations more efficient and organized. As the tech-outsider, I wanted to let you all in on a few tips and tricks to make your TapRooT® software experience that much more “user-friendly”.

Top 5 Life Changing Shortcuts:

  1. The Mass Highlight
    Did you know you can highlight multiple items in your SnapCharT® to move them simultaneously? The days of tediously moving each individual event & condition are over. Just click anywhere on the SnapCharT® grid, drag and highlight as many items as needed. You’ll notice that now each item has been simultaneously selected so you can click and drag the entire group together. Voila!

  2. Ctrl A, Ctrl C & Ctrl V
    Keyboard shortcuts can be helpful in speeding up the process of copying and pasting text. Once your cursor is in the event or condition, simply type Ctrl A to “Select All” –> Ctrl C to “Copy” –> place cursor in the new area where you wish to paste your text –> type Ctrl V to “Paste” –> done!
    No more right clicks. (Side note: this is helpful for everyday use, not just in TapRooT® software)

  3. Making Connections
    Once you’ve created each event and condition, you’re ready to link them together. This one might seem obvious, but it was a little tricky for me. If you click on the box, the blue dots around the edges appear. Those are used to expand or contract the box. If you hover over the box, you’ll notice X’s appear around the edges instead. Those are used for linking. Simply hover over the box, click on the necessary X and drag to the box you wish to link it to.

  4. Adding Events
    The first time I made a SnapCharT® in TapRooT® VI, every time I needed a new event I would double-click to create it, drag the box to line up with the others then link them together. Now, that is definitely one way to do it, but did you know there’s a much quicker way? When you hover over an event, blue arrows appear on the outside of the box. If you click on one of those arrows, a new event box that is perfectly lined up and already linked magically appears.

  5. Shape Defaults
    If you’re like me, you’re a visual person, so making the events yellow and conditions blue is helpful. But, you don’t want to have to click and change the color of each individual event and condition. Luckily there’s a simple fix. Go to Settings (gear symbol in upper right hand corner) –> Shape Defaults –> Select a shape –> Set default settings to whatever you’d like –> Click Apply Changes. Now each time you create a new event or condition they will automatically appear the way you wanted.

Technically Speaking – Dashboard Widgets

What’s a widget you ask?? If you would have asked me this question when I was a child, I would have told you that Widget was the name of my family pet cat. But today, the term widget means something else to me in regards to software. A widget is a small application within a webpage that provides useful information. You may be familiar with widgets that you use on your iPhone or Smartphone.

Well in TapRooT® VI, widgets exist to provide valuable trending data on your incidents, investigations, audits, root causes and corrective actions. Currently, if you were to visit the DASHBOARD menu, you would find just 4 basic widgets. But I am excited to announce that in our near future release we have COMPLETELY enhanced this dashboard with a variety of widgets and custom options to help meaningfully display your data.

Want to know which Basic Cause Categories, Near Root Causes or Root Causes are your biggest offenders? Want to know which locations or classifications have the most issues? Want to know how many complete, incomplete or past due Corrective Action tasks you have? These dashboard widgets will let you know. There are almost 25 widgets that can be viewed in over 70 combination display types to help you focus on exactly what sort of information you want to see. Take a look.

Technically Speaking – Building a Management Presentation without PowerPoint

This week in Technically Speaking, we will look at building a management report straight from report builder in TapRooT® VI. In the older version of TapRooT® 5, if you needed to make a presentation for an investigation there were a lot of extra steps that needed to be taken to accomplish this. For example, after the investigation was finished, you could go to the 7th step, and select the Investigation Report link. You could then view the investigation report, causal factor report, and so on. Then, if you needed to make a presentation for these reports, they needed to be exported and then powerpoint needed to be opened and screenshots needed to be taken, then posted in powerpoint just to make a presentation. Well, now that’s all in the past.

For the start of our management report, we can add company information as well as, details about our incident. As you can see below, we get the company information from the “Header” section pointed out by the top arrow. This information can be added or taken away by simply checking/un-checking the boxes in the “Header” section pointed out  in the example. Below the company information, we have the incident details pointed out by the second arrow. As you can see, the details section provides the name, date, time, location, classification, and investigation number of the incident.  Also, if this is an environmental incident, which is what this incident was, you can add in that information as well. This is outlined by the third arrow.

Next, we need some visual images for our report. Having visual images is a very important because it helps the audience picture the problem that occurred. In the picture provided below, notice how we have provided a picture of our equipment that failed along with a picture of the end result of the failure. With these pictures and a brief verbal description of what happened, we have provided an easy but detailed image for our audience.

Now that we have given the audience a nice visual of the cause of the incident, we need to include the sequence of events that led up to our incident. We can take a SnapCap of the sequence of the events, include a causal factor straight from the SnapCharT® and put them directly onto our report. (If you need a refresher on this feature please refer to our blog post titled Technically Speaking- What is a SnapCap?)

The last thing we need to look at for our management report is adding tables. You are able to add tables of the root causes that contributed to the causal factors that were found. Next, add a table of generic causes along with the action plan being put in place that would potentially fix the issue at hand in the future.  The picture below shows the tables that will be listed on the final report.

Now, we have a complete report ready to preview. To do so, go back to the investigation, select the [Report] tab, and then select the link to the report. This report is named Management report, so this is the one selected. After this is selected, a .PDF will be generated. This .PDF can either be downloaded to the machine and saved or printed out.

Report builder is such an important feature that comes with the TapRooT® VI software.  There is no more need to use third party software to generate management reports or presentations.  Just complete the investigation, gather the details and facts, then simply drag and drop into the report builder and you are good to go!

Technically Speaking – Tips For Building a SnapCharT®

The new SnapCharT® in TapRooT® VI is loaded with features to improve flexibility and increase productivity when building a SnapCharT®.

Shape Defaults and Zoom are some of the easiest features to use and they will benefit all your SnapCharT®s going forward. Click on the “Settings Gear” icon to access Shape Defaults.

Shape defaults let you customize your objects for EVERY SnapCharT® you build.  It is one of the first things I recommend to new users and I believe it saves hours of editing on the SnapCharT®.

Take into consideration how these objects appear on a projector or large screen.  Once you set defaults you can always customize them even further on the SnapCharT®. Now anytime a new “event” is added it will appear blue, the text will be size 14, times new roman and it will be italicized.

Zooming can be accomplished using the “plus” and “minus” magnifying glass objects on the toolbar.  This lets you focus on specific events or zoom out for a grand picture of the entire SnapCharT®(as many pages as you want).

fit window  Fit to window resizes the SnapCharT® to fit all objects in the viewing area.  Whether your timeline is 1 page or 20 pages long and full of events.

Technically Speaking – How to Create a New Incident in TapRooT® VI

Today I am going to talk about how to create a new Incident, Investigation or Audit. If this is the first time using TapRooT® VI you may notice that the look has changed and a few things have been added. To create an Incident, Investigation or Audit, simply click on the “Create New” tab and then select Incident, Investigation or Audit.

Now let’s look at creating a new Incident, to do this select “Create New” then select Incident. Later on, we may find that an investigation is needed to be performed, and, in previous versions, this would mean that we would have to create a new investigation but not with TapRooT® VI. One of the many features that were added in TapRooT® VI is the ability to add an investigation to any Incident that you created. This process is accomplished directly for the open Incident, all you need to do is click on the Add Investigation tab. From here, you will then perform an investigation as normal.

Lastly, let’s look at creating Audits. To do this, select “Create New” then select “Audit”. One feature about Audits I would like to point out is you can select a future date for your Audit. This will allow you to plan Audits days or weeks in advance.

Technically Speaking – 2016 TapRooT® Global Summit Followup

Whew! What a week we had in San Antonio! It was a great opportunity to meet TapRooT® Users in person and put a face with the name we’ve seen or heard through TapRooT® Support. Along with the opportunity to meet many of you, we also had several great sessions taught by our awesome IT staff led by Dan Verlinde. Take a look at Dan’s enthusiasm when teaching a course. He’s got his sleeves rolled up and diving into the heart of the new TapRooT® VI software.

Hopefully, you attended one of the software courses and learned how the new TapRooT® VI software can help you improve efficiency when conducting an investigation. We are also excited to bring additional features to the software over the next several months so stay tuned to our blog!

The Summit also provided us a great opportunity to introduce an app dedicated to the TapRooT® Global Summit as well as share many attendee comments through the use of our Twitter wall. It was exciting to see many of you joining in and tweeting your pictures from the reception on Wednesday.
