Virtual Root Cause Analysis Training

Earlier this year, System Improvements announced a new course for companies that want to get their employees trained virtually to use the TapRooT® Root Cause Analysis System to find the real root causes of low to moderate risk incidents.

Virtual RCA Training Development

You may ask WHY we decided to develop virtual TapRooT® Training?

This may seem an obvious development decision since many training providers took their live, face-to-face courses and started presenting them virtually when the COVID pandemic hit. Worse yet, we saw people offer two-hour courses to make you an “expert” in one subject or another. These poor-quality virtual courses were a disservice to the attendees who went to sleep or decided to get their e-mail caught up while the instructors droned on.

Therefore, we knew that just providing our 2-Day TapRooT® Root Cause Analysis Course virtually was not an option. Why?

  • Eight hours of virtual training in a day was just too long.
  • Our instructors were practiced making live, face-to-face training interactive, but this was more difficult in the virtual classroom.
  • The classroom environment is different than the virtual environment.
  • The right training delivery software is important.
  • We didn’t know how many people we could effectively teach in a virtual course.

Therefore, we decided to develop a new virtual course that would be just as effective as our 2-Day TapRooT® Root Cause Analysis Training.

In June of 2020, we started testing different virtual software delivery systems and experimented with changes to the content and timing of our 2-Day TapRooT® Course. We found:

  • a delivery system that provided a great virtual training experience that included virtual breakout rooms for team exercises.
  • that students could remain alert and interactive in three-hour segments that were structured with the right amount of interactive exercises, instructional content, exercises, and breaks.
  • ways to add quizzes, exercises, and software practice to the course to keep people involved.

By early July of 2020, we had a draft course that was ready for testing. Our first test used our staff and our contract instructors. We tested:

  • Our course material conversions to a virtual environment.
  • The timing of segments, breaks, and lunch.
  • The size of the class (we started with 10 people)
  • The number of instructors (we started with two to allow good interaction with students and to provide an instructor to handle technical challenges while the other instructor was teaching).
  • Various quizzes and new exercise ideas.
  • The capacity of our wifi to handle multiple students and breakout rooms.
  • How to coach the use of TapRooT® Software in a virtual environment.
  • The studio needed to conduct an effective course.

By August of 2020, we partnered with three TapRooT® Users (three different companies) to test our refined virtual course with a follow-up, post-course coaching and evaluation regimen to ensure the training was effective.

The testing continued through November of 2020. We found that:

  • The six-hour per day, three-day course was effective and received excellent student reviews.
  • Post-course coaching of the student’s first application of the TapRooT® System was very effective to reinforce classroom learning. Not only did this question and answer/coaching session after their first investigation provide the students with a chance to ask questions about their use of TapRooT® RCA, but it also provided the instructors with feedback on the students’ use of the techniques and ideas of ways to make the training more effective.
  • Some of our initial post-course training (we initially held two post-course mini-review sessions plus an incident review) wasn’t needed and could be dropped to save student’s and instructor’s time.
  • Some quizzes and exercises could be modified to simplify the course administration but keep the interactive elements of the training,
  • We could increase the number of students in the class to 16 and reduce the number of instructors to one (once the instructors were fully familiar with the virtual training environment and the new course materials).

During the later part of the testing, We started testing contract instructors’ wifi connections to ensure the needed capacity for conducting multiple, simultaneous courses and certifying more of our instructors to teach the new virtual RCA course.

When the testing was complete, we held two review and refinement meetings to improve the course once again.

That brought us to the end of 2020 with a fully tested and improved 3-Day Virtual TapRooT® Root Cause Analysis Course.

Learning Environment

The course is given virtually using an online teaching platform. Each student must have their own computer, with a webcam on during the class, allowing them to see the instructor, be seen by the instructor, and interact with the class. There will be continuous opportunities for participation, with plenty of breaks to keep everyone engaged. Team exercises will be completed throughout the course and will utilize cloud-based TapRooT® Software.

Comparing the Virtual and Face-to-Face Training

We knew that the face-to-face training provides better opportunities for students to ask the instructors questions, share experiences with other class participants, and let the instructors judge the pace and learning of the students. Therefore, we built opportunities into the virtual class to ask questions and encourage student participation. And there was an instructor/student bond that was formed. This made the face-to-face course very effective.

Therefore, we modified the examples in the virtual course to make them more effective in a virtual environment.

Second, because using stickies and the paper tree and dictionary wouldn’t work in a virtual class, we modified the course to use the TapRooT® Software for all exercises.

Third, obviously, we spread the course out over three days and kept each day shorter. We also added end-of-day exercises to start the final exercise at the end of the first day so that, by the end of the third day, the exercise is complete using the TapRooT® Software.

Fourth, we took some of the improvements we developed in the virtual course and added them to the face-to-face course to make that course even better.

Finally, we recertified our instructors to teach the new 3-Day Virtual TapRooT® Root Cause Analysis Course to make sure they understood the changes in course delivery that were required in a virtual course.

We think that there are advantages to each mode of delivery that we will cover below in the description of which course you should pick.

Plus, this method of delivery get’s the essentials of the TapRooT® Process covered all on the first day of the course.

If you like the idea of post-course feedback to tutor your investigators, the 3-Day Virtual TapRooT® Course is for you. Of course, we can add this coaching to a 2-Day Course for an additional fee if you want this improvement for the 2-Day Course.

If you are looking for our advanced 5-Day TapRooT® Advanced Root Cause Analysis Team Leader Training, you only have one choice, our live public or on-site training. We don’t have a virtual option for this course.

If you people are scattered over different locations, and can’t get together without considerable travel expenses, then our virtual course could have a considerable advantage in total cost for your company.

If you want your people trained in the least amount of time, a 3-day virtual course is 50% longer than a 2-day public or on-site course.
